AI consultancy · Scotland

Practical AI consultancy for businesses across Scotland.

We help businesses across Scotland reduce back-office work and improve operational visibility by connecting existing software, centralising important data and building AI-powered workflows around how their teams operate.

Where AI usually helps a business

Not everything needs AI. The work worth looking at is the work that keeps repeating and depends on someone reading, typing or chasing.

Enquiries and follow-up

New enquiries read, the details pulled out and the follow-up prepared — without someone having to remember.

Fewer missed enquiries
Quotes, jobs and invoices

Quote drafts from your templates, job briefs with the right details, and invoice reminders that go out on time.

Less chasing
Admin and records

Information taken from emails and documents into your systems, checked by a person rather than re-typed by one.

Less re-keying

How we choose the first AI project

Most businesses have several ideas. We start with the one most likely to work, then build from there.

1 · FINDREPEATED WORK2 · CHECKSYSTEMS + INFO3 · PILOTTASK + REVIEW
1 · FINDREPEATED WORK2 · CHECKSYSTEMS + INFO3 · PILOTONE TASK, REVIEWED
  1. Find the repetitive work. We talk to the people doing it: what gets copied, chased or checked every day?
  2. Check the systems and information. Does what the task needs already exist somewhere reliable, and can your software be connected to?
  3. Build a focused pilot. One task, real examples, a person reviewing the output. Only when it is dependable do we connect the next step.

What makes a good first project

The best first project is usually the one that ticks most of these boxes.

It happens often

Ten minutes several times a day is a better starting point than a difficult job once a quarter.

The rules are fairly clear

Most of the time the task follows the same steps. The odd exception can go to a person.

The information already exists

What the task needs is already in your inbox, spreadsheets or software — it just has to be found and used.

The time saving is obvious

You can say roughly how many hours a week it takes now, so you will know whether it worked.

Your team keeps control

A person still checks anything that matters — pricing, payments, customer messages — before it goes out.

Someone owns it

One person on your side runs the pilot, reviews the output and decides when it can be trusted.

Built around the way your business already works

We work around your existing tools — including Google Workspace, Microsoft 365, accounting platforms, job-management software and CRMs — wherever integration is technically supported. Connected workflows can feed a central source of truth and dashboards that make activity, bottlenecks and KPIs easier to see.

What working with us looks like

01
Understand how your business runsA conversation about where time goes and what gets in the way. Discovery can be handled by video call, or through a site visit where seeing the process in person would make the project clearer. The free readiness test is a good place to start.
02
Agree the first projectOne task, what it needs, what “done” looks like and where a person steps in. Scope and timing depend on the processes involved and are agreed before work begins.
03
Prepare the basicsWrite down the one process and tidy the records it depends on. Automation makes a messy process faster, not better.
04
Build, test and hand overWe build it, run it through ordinary and awkward cases, then hand it over with clear instructions and a named owner on your side.
05
Measure, then expandCompare against the hours it took before, including the time spent checking. Time freed is capacity, not a guaranteed cash saving. Add the next step once the first has earned it.

Working with businesses across Scotland

We are a Scottish AI consultancy and we support businesses across Scotland. Discovery and scoping are usually done by video call with screen-sharing, so we can see how your tools are actually used wherever you are; a site visit can be arranged where seeing the process in person would make the project clearer. The build happens in your systems, not ours, and arrangements for each project are agreed with you at the start.

More about McMahon AI

Common questions

What does an AI consultant do?
An AI consultant reviews how work is done, identifies where AI or automation could help and defines a practical implementation plan. McMahon AI also builds and tests the agreed systems, connects them to existing tools where suitable access is available and hands them over to your team.
How much does AI consultancy cost?
The cost depends on the processes being assessed, the software involved and the complexity of implementation. Bespoke consultancy and systems are scoped and quoted before work begins. Our communication agents have separate setup and recurring prices shown on the AI Agents page.
Do we need to replace our current systems?
Usually, the first step is to assess the tools you already use. We connect or improve them where suitable access is available. If a limitation makes replacement worth considering, we explain the trade-off during scoping before you commit.
How is business data handled during a project?
Data access and handling requirements are reviewed during scoping. We agree what information a workflow needs, who can access it and which providers are involved. Retention, permissions and any required data-processing arrangements need to be agreed before deployment; GDPR responsibilities depend on the project and the roles of each party.
Do we need AI, or just automation?
Sometimes just automation. Moving information between systems by fixed rules does not need AI. AI is useful when a task involves reading and understanding something — an enquiry, a document, a set of notes. Many good systems use both, and we recommend whichever fits the task.
How long does it take to get started?
The free readiness test takes six short sections and gives you an initial view straight away. For consultancy work, the scope and timing depend on the processes being reviewed and are agreed with you before work begins.
What if our processes are a bit informal?
That is normal. If a task is done differently by different people, we help you write down one version first. Otherwise automation just makes an inconsistent process run faster.
How will we know it worked?
Before building, we note how long the task takes now, including checking and chasing. After the pilot we compare the same measures. We describe time freed as capacity, not as a guaranteed saving.
Which businesses do you work with?
Trades and construction, professional services, property, retail, hospitality and health and wellbeing businesses among others. The common thread is repeated work that depends on information moving between people and tools.
Can you support us after handover?
Yes. Every system is handed over with clear instructions and a named owner on your side, and ongoing support can be agreed where a project needs it.
